5 Things to Know Before Booking Hourly Meeting Rooms

Hourly meeting rooms are used by tons of businesses in many different professions. They are a great resources if you’re a professional on-the-go. They’re also heavily used by court reporters, attorneys and other legal services providers.

While hourly meeting rooms can be found all throughout Tampa, they are not all the same. They may be set up for specific services or professions, they may cater to specific market areas, or they may not offer the amenities you need. If you need meeting space, don’t just go with the cheapest option. The venue you get may not be what you expected (or wanted). This can be a huge embarrassment for you if you’re meeting a client or business associate.

Before you book hourly meeting rooms just anywhere, there are some things you’ll need to know about where you’re booking and how you book.

To help, here’s 5 things to know about booking hourly meeting rooms

Know Your Area

We know that most consumers of hourly meeting rooms come from out of town. Either they are road warriors meeting with clients or traveling executives who need to meet with their team. Another major consumer is that of the traveling attorney. Attorneys who come into town to try cases often need access to hourly meeting rooms for things like depositions.

If you’re coming from out of town and need to book a conference room, find out where that space is located. Is it easily accessible? Will you be near hotels and restaurants? Is it close to the courthouse?

Finding Hourly Meeting Rooms

You may be wondering where to find hourly conference space. Luckily, many conference and meeting room spaces advertise on aggregated listing sites. There are several major office and meeting room listing platforms online that you should be familiar with before searching for conference space:

  • Davinci Meeting Rooms
  • Liquid Space
  • Global Workspace Association

These platforms are comprised of a network of partner venues. You can search availability and pricing of meeting rooms in your desired area. Also, you can do a simple web search for more complete listings that may not be included on the above platforms.

View Pictures

Before you commit to any hourly meeting room venue, make sure you view photos of the location. Request them, if none are listed. There is nothing worse than showing up to a dilapidated or decrepit meeting room or one that does not reflect a professional atmosphere.

Review Amenities

Make sure the meeting space has what you need before booking it. If you need audio-visual hook-ups or teleconferencing equipment, make sure it is available prior to showing up there. You don’t want to lose face with your clients or colleagues by scrambling to find a location that fits your needs.

Contact the Venue Prior to Arrival

One of the most important things you should do before a booking (and one we can’t stress enough to our clients) is to contact the venue. Space managers can answer any questions you may have about directions or the room itself. They may even be able to recommend restaurants or coffee shops to hit after your meeting.

My friend was thinking about hiring a conference room at a hotel for their weekly meeting, but didn’t know how to really start. I liked your tip about knowing the area. How it should be close to the most relevant area for whoever is meeting there. Thanks for the great tip!

Very valid points. Missing of any one of them can create a problem while hosting / planning a meeting. Other than these pointers – check out for catering help too. While the meeting / conference is going on there should be some refreshments available for participants.
